At a glance
- 9 branches unified on one platform in 11 weeks, branch by branch, with zero closed days.
- AI handles booking triage, reminders and parts reorder; staff handle the cars.
- Live since launch under our managed “we run” retainer, reported monthly.
The challenge
Brightlane had grown from two sites to nine in four years. Every branch booked jobs its own way: a paper diary here, a spreadsheet there, a free booking widget bolted onto the website. Head office could not see capacity across sites, double-bookings were common, no-shows ran high, and parts were ordered reactively. The owner was spending evenings stitching numbers together by hand instead of opening branch ten.
Our approach
We started with the most painful, most rule-based job: bookings and bay scheduling. We configured our garage management system to Brightlane’s services and pricing, migrated each branch’s history, and rolled out one site at a time so nobody lost a working day. AI was added only where it earned its place, not as a gimmick.
What we built
- One scheduling brain across all nine branches, with live bay capacity head office can finally see
- An AI booking assistant that triages enquiries, fills cancellations and sends reminders, cutting no-shows
- Automated, predictive parts reordering tied to the job book, so vans are not waiting on parts
- A single dashboard for revenue, utilisation and technician productivity per branch and group-wide
We stopped running the business from a spreadsheet at 10pm. The system tells us what every branch is doing, in real time, and infoloop keeps it running so we don't have to think about it.
The results
Within one quarter, bay utilisation rose 28% as head office could shift work to branches with capacity. No-shows fell by more than a third thanks to AI reminders and easy rebooking. Each branch manager got back around four and a half hours a day of admin. Parts stockouts dropped sharply, and the group opened its tenth branch on the same system without adding back-office headcount.
